Triggers

What starts an automatic follow-up?

A Dvaarik follow-up rule starts from one of three events: a new enquiry arriving, an enquiry sitting in a stage you choose, or a date saved on the lead. A rule can add up to eight conditions on your saved lead columns, and can wait anywhere from zero minutes to 30 days before acting.

A new enquiry arrives

A lead lands from your ads, a website or Google form, or your own software over the lead API. The rule fires once for that person.

Example: create a task for your team one day after each new enquiry, so a person reviews every lead the agent has worked.

An enquiry sits in a stage

When an enquiry is in a stage you choose — Quoted, Visit done, Interested — the rule fires once per person for that stage.

Example: send an approved WhatsApp message two days after a lead reaches “Quote sent”.

Before or after a saved date

Any date saved on the lead — a renewal, a service due date, a course start — can trigger a follow-up up to 365 days before or after it, at a local time you pick.

Example: the assistant calls 7 days before a membership renewal date, at 11:00.

Who follows up: the AI on a call, WhatsApp, or your team?

Each Dvaarik follow-up rule does one thing: the assistant calls the person, an approved WhatsApp message is sent, or a task is created for your team. Email follow-ups are coming soon and are not available today.

Assistant call

Your AI agent phones the person from your own connected number and uses the reason you saved as its brief. It is instructed never to invent prices or confirmations, and to respect “stop”. Each follow-up makes one call attempt; an unanswered call is marked Needs help so you can resume or reschedule it.

WhatsApp message

An approved template from your own WhatsApp Business account goes out on schedule. If the person replies, the reply lands in your inbox, where your WhatsApp agent can answer it. Meta bills its message charge to your account; Dvaarik adds no markup.

Task for your team

A reminder lands in the Follow-ups page for a person to act on. Nothing is sent and nobody is called automatically — useful where a human must make the call.

When does the follow-up agent stop or wait?

Dvaarik's follow-up agent stops when the person replies, holds anything due outside business hours or the person's legal calling window, and never contacts a number on your Do Not Contact list. A follow-up is persistence, not pressure.

  • Stops the scheduled follow-up if the person replies first (on by default, and you can turn it off per rule).
  • Sales follow-ups always stop once the enquiry reaches a closed stage.
  • Waits for your business hours, and for the person's legal calling window: 9 AM to 9 PM India time for +91 numbers, 8 AM to 9 PM local time for US and Canadian numbers.
  • Never contacts anyone on your Do Not Contact list, on calls or on WhatsApp.
  • Calls only people with recorded consent, if you switch that requirement on.
  • Every rule must be previewed before it can be switched on, and a live rule is replaced rather than edited.

Where else does Dvaarik follow up automatically?

Besides follow-up rules, Dvaarik follows up in three other places: the first response to a new lead, a WhatsApp message after a campaign call, and order follow-ups for shops and online brands with a connected store.

First response to a new lead

Speed to lead answers a fresh enquiry in one of three ways:

  • Call only. The agent calls the moment the lead arrives.
  • WhatsApp only. An approved WhatsApp message goes out first, with up to two nudges.
  • WhatsApp first, then call. WhatsApp goes first and a call follows if there is no reply, after a delay you set from 15 minutes to 24 hours.

A reply cancels the pending call, and speed-to-lead calls can make up to five attempts.

An outbound campaign can send one approved WhatsApp message after each call, with a different template for answered calls and for no-answer, busy or voicemail. It goes out after a delay you set, up to 24 hours, and is skipped if the person has already called you back.

Retail shops and D2C brands can confirm cash-on-delivery orders, recover abandoned checkouts and follow up on failed deliveries — WhatsApp first then a call, a call first, WhatsApp only, or a task. These need a connected Shopify, WooCommerce, Shiprocket or your own software, and a reply stops the fallback call.

What does the follow-up agent not do yet?

Dvaarik's follow-up agent does not send email yet, does not chain several steps inside one rule, and does not re-dial an unanswered follow-up call on its own.

  • Email follow-ups — coming soon. Today a follow-up is a call, a WhatsApp message or a task.
  • Multi-step drip sequences inside one rule. Each rule does one action; build a sequence from several rules.
  • Free-text WhatsApp outside Meta's rules. Scheduled WhatsApp follow-ups use templates Meta has approved.
  • Automatic re-dialling of an unanswered follow-up call. It waits for you to resume or reschedule it.
  • Starting a rule from a callback request or a completed booking or demo. Rules start from a new enquiry, a stage or a saved date.

What does an automatic follow-up cost?

Dvaarik charges no monthly fee for follow-ups. A follow-up call costs ₹0.50 a minute in 30-second steps, so a 95-second call is 4 steps, ₹1.00; each AI reply when someone writes back is ₹0.05.
