Why the backlog forms, and why it is not a discipline problem
Nothing about a WhatsApp backlog is fixed by trying harder. Three mechanisms build it, and they compound.
Arrival times do not match staffing. Enquiries land while you are with a customer, driving, closed, or asleep. Messages that arrive after closing sit until you next open the app, which across a weekend can be two days. We do not have measured data on how evening enquiries convert against daytime ones, so we will not tell you they are your best ones — only that they wait the longest.
Every enquiry is a small decision. A price question, a location question and a booking request each need a different reply. Clearing 40 of them is 40 context switches, not one task, which is why a backlog rarely gets cleared in one sitting and instead gets skimmed.
Unanswered enquiries go stale. Someone who messaged three businesses and has one reply in hand is deciding with that one reply in front of them. At that point you are not being compared on quality; you are absent from the comparison. This is the same mechanic as speed to lead on phone enquiries — the difference is that on WhatsApp the evidence of your slowness is sitting in the customer's chat list with two grey ticks on it.
We do not publish a percentage for how many of those enquiries are lost, because we have not measured one and any figure we invented would be worth nothing to you. Open your own WhatsApp, sort by oldest unread, and count how many are older than a day. That number is yours and it is real.
What the free WhatsApp Business app can and cannot do about it
Before spending anything, use what is already in the app. The WhatsApp Business app includes a greeting message sent automatically when someone contacts you for the first time, an away message you can schedule for outside business hours, and quick replies you trigger with a shortcut while typing. These are genuinely useful and cost nothing, so set them up today regardless of what you decide next.
What they cannot do is answer the question. An away message sends the same fixed text to every person, whatever they asked — the customer asking your Saturday timings, the one asking for a quote on a bulk order and the one asking whether you deliver to their pin code all receive the identical line. It buys you a few hours of goodwill; it does not move the enquiry forward, and the backlog is unchanged when you open the app in the morning. There is no branching on what the customer actually said, no ability to check a price list or a slot, and no way to send a payment link.
That is the honest boundary. The free tools acknowledge a message. Answering one — with the right price, the right slot, the right follow-up — is a different job, and it needs the WhatsApp Business Platform behind it. Limits and features inside the app do change; check WhatsApp's own help centre for the current list rather than trusting any vendor blog, including this one.

There are always two bills, and confusing them is where most budgets go wrong. Bill one is what a platform charges to run the automation. Bill two is what Meta charges to deliver messages. Read that table honestly and Trikon's ₹1,500/month Starter is below our ₹5,000/month founding Care Plan, so we are not the cheapest row and we will not claim to be. Indian rates in this market moved within weeks during collection, so re-check any figure here on the vendor's own page before you sign anything. What is different about our shape is the terms, not the trophy: ₹2 per conversation from the first conversation, no subscription on the usage side, no annual commitment, and nothing of ours sitting between you and Meta's message pricing. The full arithmetic on a real month
Take a business receiving about 12 WhatsApp enquiries a day — roughly 360 a month — that also wants a phone number answered by the same system.
Getting started. Minimum first credit load is ₹10,000. With 18% GST that is billed at ₹11,800: ₹10,000 usable credit plus ₹1,800 GST. Month 1, from that ₹10,000 balance:

Months 2 and 3 repeat the same debits: ₹2,000 recharge if you have a number, ₹5,000 Care Plan, then usage. From month 4 the Care Plan is optional and can be cancelled, at which point a WhatsApp-only month costs ₹720 in conversations on our side plus Meta's charges on yours. Who bills you for the WhatsApp messages — and why that answer matters
This is the single line in this page worth reading twice. Meta bills WhatsApp conversation charges directly to your own WhatsApp Business account. Dvaarik adds zero markup. We do not resell messages, we do not bundle them into a per-message fee of our own, and we take no cut of Meta's rate. What you pay us is separate and visible on your credit statement: ₹2 per conversation.
Meta sets those message rates itself, publishes them, revises them periodically and charges by category — a message your business initiates is priced differently from a reply you send inside the window after a customer writes to you. We deliberately do not quote a Meta rate on this page, because whatever number we printed would be stale before you read it and you would be budgeting against our copy instead of Meta's rate card. What you can compare today is who stands between you and that rate card. Checked 21 Jul 2026: Botsense states plainly that its plan prices exclude Meta WhatsApp conversation charges, which are paid directly to Meta. MyOperator states that Meta charges are additional and also publishes its own India rate card of ₹0.95 marketing and ₹0.13 utility. Trikon publishes its own card at ₹0.86 marketing and ₹0.145 utility with service conversations free. For ConnectAI we did not find a published position in the pages we checked, which is not the same as saying they add one.
So ask any vendor two questions in writing before you sign: *is your per-message price exactly Meta's,* and *will Meta invoice my own account*. A soft answer to either is a markup. Will it take over my WhatsApp, or can I still reply myself?
The number stays yours and you keep replying from it. That is not a feature we bolted on; it is the reason owners agree to this at all.
We connect your WhatsApp Business account through the official Meta flows — business verification, number registration, display name, template submission. You continue to use WhatsApp Business on your own phone. When you type a reply to a customer yourself, the agent steps aside for that conversation and stays out of the way. When you are done, it resumes handling follow-up. Indian sales conversations often turn on owner judgment — a discount, a favour for a regular, a family reference — and a system that cannot get out of the way during those moments is worse than no system.
One warning that has nothing to do with us. Meta's own policy prohibits unofficial automation that logs into the consumer WhatsApp app on your behalf, and accounts using it risk being banned. Any tool that asks you to scan a QR code to hand it your personal WhatsApp session is on that path, and the number at risk is yours, not the vendor's. The official Business Platform route is slower to set up and it is the only one worth doing.
What the agent should actually do with an enquiry
Clearing a backlog is not replying to messages. It is finishing them. A WhatsApp agent worth paying for should, without you touching the phone:
- Answer prices, timings, location, availability and service details in the customer's own language, including a reply in Telugu or Hindi to a message sent in Telugu or Hindi
- Qualify — ask the two or three questions you would ask, so a serious enquiry arrives at you already half-closed
- Book a slot and lock it, then send the confirmation and the reminder
- Send a payment link mid-conversation so a booking carries a deposit behind it rather than only a promise
- Hand over to you the moment it is out of its depth, with the conversation history intact
- Follow up on the enquiries that went quiet — using an approved template, sent only to people who contacted your business, never to a bought or cold list
