If appointments are being booked and then nobody turns up, the fix is a sequence, not a single reminder: confirm the booking, escalate to a voice call when the confirmation is ignored, take a deposit where the slot is expensive, and refill the slot the moment it frees up. What actually stops a no-show, and what does it cost?

A dead slot is not one failure, it is four gaps in a row, and each one has a different fix and a different price.

  1. The customer forgot, and nothing reminded them. Fixed by a confirmation the moment the slot is locked, and a reminder the day before.
  2. They saw the reminder and ignored it. Fixed by escalating to a voice call — a human voice in their own language asks a question a message cannot: are you coming or shall I move it.
  3. They had nothing at stake. Fixed by a deposit on the bookings that hurt when they vanish. This is the only step that changes the customer's incentive rather than their memory.

Why the reminder you already send is not working

If you already send a reminder and the no-show number has not moved, the reason is usually structural, and worth checking before you buy anything.

It is one message, not a sequence. A single reminder has one chance to land. If it arrives while the customer is driving, it is gone.

There is no reply path. A message that says "your appointment is at 4pm" with no way to confirm or move it gives the customer only two options: turn up, or vanish. Rescheduling is the outcome you actually want from a customer who cannot make it, because it hands you the slot back with notice.

Nothing escalates. Silence gets treated as consent. In practice, silence is the earliest signal you have that the slot may be at risk, and it is the one worth spending ₹2 on a phone call to resolve.

The freed slot goes nowhere. A reminder system with no re-offer step still produces a dead hour every time a cancellation succeeds.

Nobody owns the follow-up. In a small business the person who would chase is the person who is with a customer. That is the same reason enquiry calls go unanswered, and it is why the fix is automation rather than discipline.

One thing you will notice while researching this. The number worth holding on to is the third row. A voice reminder to a customer who ignored the message costs ₹2. Whatever one empty slot is worth in your business, divide it by two, and that is how many reminder calls it pays for.

What does a month of this cost, all in?

Two worked totals. The appointment counts — and every call and chat count underneath them — are illustrative placeholders, not measurements. Replace them with your own. We have not measured how many of your customers ignore a reminder, and no page quoting you a national no-show percentage has measured it either. What is not illustrative is the rates: every per-unit rupee figure below is our published rate.

The part most pricing pages leave out: the ₹2,000 number recharge and the ₹5,000 Care Plan are debited from the same prepaid credit balance as your calls. There is no second invoice and no second mandate. During the founding first three months, when the Care Plan is required, ₹7,000 of each month's credits goes on those two fixed lines before a single minute of talk time is billed.

So month one reads like this. The minimum first credit load is ₹10,000, billed ₹11,800 with 18% GST. Out of the ₹10,000 usable: ₹2,000 number + ₹5,000 Care Plan = ₹7,000, leaving roughly ₹3,000 for calls and chats. The 250-appointment business above spends ₹520 of that and carries the rest forward; the 600-appointment business spends ₹1,280 and still carries forward. Top-ups start at ₹500, credits never expire, and at a zero balance everything pauses gracefully rather than running up a bill.

Where the break-even sits. From month four the running cost in the first column is ₹2,520 a month. If an average booking in your business is worth ₹800, this has to save you roughly three appointments a month to be worth paying for. If a booking is worth ₹5,000 — a dental treatment, a diagnostic package, a site visit — it has to save one every two months. Put your own average ticket and your own no-show count into the missed-call and no-show calculator before you decide anything, because the answer genuinely differs by business.

Two cautions to carry into any shortlist. First, a headline per-minute rate is not a landed cost — check separately whether telephony, the phone number, setup and GST sit on top of it, because on this table they do for most vendors. Second, several of these vendors publish rates for *other* vendors on their own comparison pages, and at least one of those figures contradicts the other vendor's own published rate. On WhatsApp specifically: MyOperator publishes Indian-destination message rates of ₹0.95 marketing, ₹0.13 utility, ₹0.13 authentication and free service conversations, noting these are subject to change under Meta's policies. The escalation that does the work: message, then call

The single highest-value change most businesses can make is treating silence as a signal instead of a yes.

The sequence we build is: confirmation on WhatsApp from your own number as soon as the slot is locked; a reminder the day before with one-tap confirm and reschedule; and then, only for the customers who did not respond to either, a voice call. You pay ₹2 only for the calls actually placed — in the monthly table above, the two voice lines together come to ₹280 at 250 appointments and ₹680 at 600. How big that unconfirmed group is in your business is something only your own booking data can tell you. We have not measured it, and neither has any page that offers you a percentage.

What the call does that a message cannot: it forces a decision. "Are you coming at 4, or shall I move you to Thursday" produces an answer. A customer who says "move it" has just handed you the slot back with a day's notice, which is a good outcome, not a failure. The agent handles that in the same call — it offers the alternatives, locks the new slot, and releases the old one. The Booking agent holds the slot during the conversation rather than after it, which is what stops two customers being offered the same time.

Language decides whether this works at all. If a customer booked in Telugu, the reminder call needs to be in Telugu — otherwise you are paying ₹2 for a call that does not get you the decision you needed. The rules on outbound are firm and we do not move them: the agent calls only your own booked customers and your own enquiries, never bought or scraped lists; calling hours are respected; and the agent identifies your business at the start of the call. Deposits: the only step that changes the customer's incentive

Reminders work on memory. A deposit works on incentive — once money is down, not turning up costs the customer something, and that is a different mechanism from being reminded harder.

UPI keeps the friction low enough to actually collect. The agent sends a deep link mid-conversation, the customer taps, enters the PIN, and the money reaches your account in seconds, while you still have their attention. It adjusts against the final bill if they arrive, and you keep it if they do not, subject to the cancellation policy they agreed to on the same call. Where to apply it matters more than whether to. The pattern that works across industries is to put deposits only on the bookings that hurt when they vanish — anything blocking an hour or more of a skilled person's time, anything requiring materials to be prepared, anything with a fixed slot that cannot be resold at short notice — and leave short, cheap, easily-refilled appointments deposit-free. That puts the friction exactly where the loss is.

One honest caution. If your average booking value is low, a deposit request can cost you more bookings than the no-shows cost you. There is no universal number for where that line sits; it depends on your ticket, your competition and how far customers travel to reach you. Test it on one service before applying it to all of them. Refilling the dead slot, and where this does not pay

The step that is easiest to skip is the one that can recover money on the same day. When a customer cancels or fails to confirm, the slot goes straight back into the calendar as available, and the agent offers it — to the next caller who asks for that day, or by calling the people who wanted that time and could not get it. Two calls at one billed minute each is ₹4. It does not undo the cancellation, but it can turn a dead hour into a paid one.

You are walk-in driven. If most of your customers arrive without booking, there is no appointment to remind anyone about and the whole sequence has nothing to bite on. What remains is call answering, which may still pay if you are genuinely missing enquiry calls — but that is a different case and should be priced as one.

Your average ticket is small. At ₹2,520 a month from month four, a business whose bookings are worth ₹200 each needs to recover more than a dozen a month before this makes sense. Sometimes it does. Often it does not.

You already chase every customer personally and miss almost nothing. Then an agent is buying you time, not revenue. That can still be worth it — but buy it for the right reason.

Can I take a deposit without losing bookings?

Some customers will push back, which is why the deposit should be small, refundable against the final bill, and stated before the customer commits rather than sprung on them later. The way we build it, the agent quotes the price, states the deposit amount and that it adjusts against the bill, and only then sends the UPI link — so the customer agrees to the terms in the same conversation where they choose the slot. Yes. Is it legal to call my customers to remind them about their appointment?
